Venue Experience Assistant (FT)

The WaterFire Arts Center (WFAC) is WaterFire Providence’s ( multi-use arts facility rooted in the vibrant Valley neighborhood of Providence. The first permanent home for our non-profit arts organization, enabling us to improve and expand our impact on the community through arts and cultural experiences. The WaterFire Arts Center is an unparalleled space for venue rentals where we work with a wide range of clients for events such as galas, weddings, trade shows, etc. Rentals of the WFAC directly support the mission and operational costs of our organization.

Working with the Venue Experience Manager, the full-time Venue Experience Assistant will be responsible for: supporting the coordination of venue rentals (prior to, during, and post-event), working as a lead event staff on-site during events, addressing client concerns as needed, assisting in the management of the FOH/store and events support team members (volunteers, interns, and staff), observing and monitoring on-floor activities, and maintenance to ensure well-run venue operations. This individual will assist in resolving operational and technical issues within the WFAC in coordination with our facilities team. The Venue Experience Assistant should prioritize and have experience providing the highest level of customer service.

  • Maintain knowledge and communicate information about WaterFire Providence and the WaterFire Arts Center to visitors (and refer them to the appropriate staff member as needed)
  • Work as the event staff lead during events at the WFAC: opening and closing responsibilities, operational troubleshooting including electrical and technical systems, coordination of event-specific wayfinding signage, assisting clients as needed, final walk-through checklists at the conclusion of events
    • Available to be on-call for the duration of an event and offer support to part time event staff
  • Manage the part-time, event-based, Event Support team as well as FOH/store team members, which consist of paid staff, volunteers, and interns
  • Ensure vigilance at all times regarding the safety and security of our facility, artwork, and visitors
  • Assist with the setup and delivery of events
  • Assist with event inquiries and venue client relations with supporting administrative work
  • Produce post-event reports
  • Show sound judgment and commitment to managing the WFAC reputation
  • Maintain and update existing written procedures for event management and write new ones as needed
  • Deliver and contribute to the development of the Visitor Experience’s daily procedures and policies
  • Produce event-related social media showcasing client activity in the WFAC
  • Contribute to word of mouth marketing
  • Be flexible in approach and be able to work outside of role in support of other team members in a broad range of work-related activities
  • Such other comparable duties as may be required


  • Bachelor’s Degree
  • Excellent oral and written communication skills
  • Experience in customer service, events, and management
  • Organizational skills
  • Exceptional interpersonal skills
  • Ability to handle flexible hours: the majority of event hours are evenings and weekends
  • Standing for extended periods of time and ability to lift up to 40 pounds
  • Creativity, drive, enthusiasm, and initiative to carry out projects to conclusion
  • Strong knowledge of Google Workspace
  • Experience with project management software


Salaried: $35,000 per year

All visitors, vendors, volunteers, and staff members are required to wear masks while working inside or visiting the WaterFire Arts Center. All current staff members are fully vaccinated and any new hires will be required to be fully vaccinated.
